GENERAL CONDITIONS – HOTEL – DOMAINE DE CAMBOYER

GUARANTEE

To secure your reservation, we require your credit card number.
A pre-authorization of €1 will be made at the time of booking, with payment to be made on-site. In the event of a late cancellation or no-show, the hotel will charge the amount due to the credit card provided as a guarantee.

Please notify us for any arrival after 8:30 PM.

CANCELLATION POLICY – DIRECT AND OTA (Online Travel Agencies)

Flex D-2: Free cancellation up to 2 days before arrival. After that, the hotel will charge the first night.

GENERAL CONDITIONS – EVENTS – DOMAINE DE CAMBOYER

ACCESS

Meeting rooms can be rented in blocks of 4, 8, or 12 hours, or for multiple days.
Access outside of these periods may incur additional fees. Shorter time slots are available upon special request and on a case-by-case basis.

STORAGE

Domaine de Camboyer will store up to two boxes (30 cm x 30 cm) up to two days before and after an event. Any items left beyond two days after the event will be shipped, provided written instructions with shipping details and payment authorization are given. Handling fees may apply for shipments after the event. Boxes can be sent to Domaine de Camboyer with the client’s full details (company name, contact person, and event date). Domaine de Camboyer is not responsible for missing packages.

COORDINATION & LOGISTICS

Included equipment:

Domaine de Camboyer’s reception hall is equipped with a large projection screen, a stereo sound system, and a microphone. Domaine de Camboyer can coordinate the rental of furniture, specific equipment, tableware, or additional audiovisual services upon request. These will incur additional costs and will be billed to the client.
The Domaine de Camboyer’s lounges are furnished with chairs, armchairs, sofas, and coffee tables.
The Domaine de Camboyer’s cottages are furnished are equipped with chairs, armchairs, sofas, tables, coffee tables, televisions, and fully equipped kitchens.

SECURITY

Additional security services for events can be arranged upon the client’s request or if Domaine de Camboyer deems it necessary. Clients are responsible for the additional security costs. Security personnel are hired for a minimum of 4 hours, with special hourly rates applying for night shifts and public holidays.

GENERAL CONDITIONS OF SALE – Meetings & Events – DOMAINE DE CAMBOYER

CONFIRMATION & PAYMENT

  • A credit card (CB) guarantee is required to secure all meeting and event bookings.
  • Full payment is due on the day of the meeting or event by credit card or bank transfer. Domaine de Camboyer does not accept checks. The client may choose to have the credit card on file charged. Exceptions may be made on a case-by-case basis for invoicing. However, if an invoice remains unpaid for more than 30 days from the invoice date, the client authorizes Domaine de Camboyer to charge the credit card provided for the total invoice amount. Payment for Event Space bookings is required according to the following schedule:

Deposit: First Payment
% of total rooms and services reserved: 25%
Due: Upon signing the contract

Deposit: Second Payment
% of total rooms and services reserved: 75%
Due: 1 month before arrival

Deposit: Final Payment (balance)
% of total rooms and services reserved: Remaining balance
Due: Upon departure

CANCELLATION POLICY – MEETING ROOMS AND MEETINGS

  • For cancellations made 7 days or more before the arrival date, 0% of the total cost will be charged.
  • For cancellations made between 3 and 6 days before the arrival date, 50% of the total cost will be charged.
  • For cancellations made less than 3 days before the arrival date, 100% of the total cost will be charged.
  • Refund fees may apply if applicable.

CANCELLATION POLICY – RESIDENTIAL SEMINARS

  • For cancellations made 2 months or more before the arrival date, 25% of the total cost will be charged.
  • For cancellations made less than 2 months and up to 1 month before the arrival date, 50% of the total cost will be charged.
  • For cancellations made less than 1 month before the arrival date, 100% of the total cost will be charged.

MODIFICATIONS

For modifications, cancellation policies apply. Any increase in the number of attendees is subject to availability. Final numbers must be communicated no later than 14 days before arrival.

PRICE ADJUSTEMENT CLAUSE

Domaine de Camboyer reserves the right to adjust prices if inflation exceeds the average between the contract signing date and the service delivery date. Inflation above average is defined as more than 0.5% per month or more than 6% per year. An official price index will be used depending on the location.

RESPONSIBILITIES & DISPUTES

  • If the client fails to pay the balance within the agreed timeframe, Domaine de Camboyer is entitled to charge the client’s credit card on file. The client will also be responsible for all legal fees, court costs, and other expenses associated with collection.
  • Domaine de Camboyer cannot be held liable for direct or indirect damages resulting from the client’s use of the social spaces or lofts, including but not limited to damages and losses due to fire, theft, or criminal behavior. Domaine de Camboyer is not responsible for injury, loss, or damage to the property of any person visiting or staying at the estate.
  • Domaine de Camboyer is not responsible for any damage caused by third parties. The client will be liable for any physical damage, lawsuits, or loss of reputation or business opportunities that Domaine de Camboyer may suffer as a result of the actions of the client or any of their guests while accessing the property for the event, and the client agrees to indemnify and hold Domaine de Camboyer harmless from any legal actions arising from their use of the venue. These terms and conditions are governed by the laws and regulations of the country in which the meeting takes place. Any disputes will be subject to the jurisdiction of the competent court in the relevant city. This agreement is subject to changes in the event of force majeure. Domaine de Camboyer will follow government guidelines and cannot be held liable for any direct or indirect damage in this regard. Should the event be canceled due to government regulations, refund fees will apply.
